Quotations are formal offers presented to customers, detailing the costs and terms associated with our logistics services. They provide clarity on pricing, services, and terms, facilitating transparent communication and informed decision-making. In CargoEZ you can create, edit, send, and track quotations to streamline workflow and effectively manage customer requests.
To create a new quotation, follow these steps:
Navigate to the tab Billing and scroll down.
Find the Quotations section.
Click adjacent to heading Quotations.
It will prompt to the window Create Estimate.
Fill in the necessary details for the quotation, including customer information, services requested, and pricing.
Choose from the following options:
Save as Draft: Save the quotation as a draft for future editing.
Save and Approve: Save the quotation and approve it for further processing.
Save and Send: Save the quotation and send it to the customer for review.
Cloning a quotation allows you to duplicate an existing quotation, making it quick and easy to create similar quotations for different customers or scenarios. Follow these steps to clone a quotation:
Navigate to the Quotations section.
It will prompt to the window Create Estimate.
Fill in the necessary details for the quotation, including customer information, services requested, and pricing.
Choose from the following options:
Save as Draft: Save the quotation as a draft for future editing.
Save and Approve: Save the quotation and approve it for further processing.
Save and Send: Save the quotation and send it to the customer for review.
To edit an existing quotation, follow these steps
Navigate to the Quotations section.
Update the necessary details as required.
Choose one of the following actions:
Save: Save the changes made to the quotation.
Save and Send: Save the updated quotation and send it to the customer for their review.
To send a quotation to a customer, follow these steps:
Navigate to the Quotations.
It will prompt to Quotation Mail Preview window.
To follow up on a quotation, follow these steps:
Navigate to the Quotations.
It will prompt to Follow Up Mail Review window.
To manage the status of a quotation, follow these steps:
Navigate to the Quotations.
Choose from the following options:
Locate the quotation you want to edit and click the button.
Click on the Clone option.
Locate the quotation you want to edit and click the button.
Click on the Edit option.
Locate the quotation you want to edit and click the button.
Click on the Send option.
Click the button.
Locate the quotation you want to edit and click the button.
Click on the Follow-up.
Review the mail and click button.
Locate the quotation you want to edit and click the button.
Mark as Accepted : Confirm acceptance of the quotation by the customer.
Mark as Declined : Indicate that the customer has declined the quotation.
If essential details are missing from the lead, you won't be able to create a quotation. Instead, a notification will appear, prompting you to provide the necessary information before proceeding. Please ensure all required details are filled in to generate a quote successfully.
