POA

The Power of Attorney (POA) feature in CargoEZ streamlines the process of authorizing and managing logistics-related tasks. It allows users to delegate authority for customs clearance, shipments, and other essential functions, ensuring smooth and compliant operations.

  1. Click on the POA menu in the left sidebar.

  2. You will be taken to the POA window, which contains two tabs:

    • POA: Use this tab to manage and create Power of Attorney records.

    • Template: This tab allows you to create and manage POA templates for generating POA documents.

Adding Template

  1. Navigate to Template tab.

  2. To add template, click +Add Template button.

  3. Fill in the details in the below mentioned fields

Field
Description

Template Name

Enter a name for the new template.

CC

Add email addresses to be included in the CC (Carbon Copy) field.

BCC

Add email addresses to be included in the BCC (Blind Carbon Copy) field.

Email Message

Compose the body of the email to be used in the template.

Select Placeholders

Choose and insert placeholders that will be dynamically replaced in the email message.

  1. Once done, Click Save button.

  2. You will get a message that template created successfully.

Edit Template

  1. Click the edit button next to the template you want to modify.

  2. In the POA window, update the details as needed.

  3. Once you’ve made the necessary changes, click the Save button to apply them.

Add POA

  1. Go to the POA tab.

  2. Click the + Add POA button.

  3. In the POA window, enter the following details:

Customer Name *

Enter the name of the customer (required).

Fictitious Name/DBA Name

Enter any fictitious or "Doing Business As" name.

Address *

Provide the address (required).

POA Template *

Select the Power of Attorney template (required).

Tax ID #/Importer

Enter the Tax ID number or Importer ID.

Company Type

Specify the type of company (e.g., LLC, Corporation).

Authority Name

Enter the name of the authority, which refers to the employees of the customer.

Authority Title

Enter the title or position of the authority.

Authority Email*

Provide the email address of the authority.

  1. Once done, Click Save button.

  2. Created POA will get displayed. Intially the status of the POA will be in draft status.

  3. You can further edit, delete, send POA.

Send POA

  1. Click button next to the POA.

  2. In the Send mail window, fill out the details in the To, CC, BCC, Subject, body of the mail.

  3. Click the Send button.

  4. The POA status will update to Pending.

Customer Signing POA

  1. The customer receives the email and clicks the link labelled Preview & eSign POA.

  2. They will be directed to the Power of Attorney window.

  3. The customer should complete the required details.

  4. Documents available in the Power of Attorney window can be downloaded by the customer.

  5. The customer checks the box next to Terms and Conditions.

  6. The customer signs in the designated signature box.

  7. Click the Submit button.

  8. An email will be triggered, and the POA can be downloaded.

For Non-U.S. Residents Check the Certification required for Non-U.S. residents box.

Edit POA

  1. Click the edit icon next to the POA.

  2. You will be directed to the edit window.

  3. Make the necessary changes.

  4. Click the Save button.

Delete POA

  1. Click the delete icon next to the POA you want to remove.

  2. A confirmation message will appear: "This will permanently delete the POA. Continue?"

  3. Click the Continue button to delete the POA.
