In the logistics industry, creating precise bills is pivotal for tracking shipments, managing financial transactions, and ensuring transparency in business operations. CargoEZ streamlines the billing process, allowing users to generate accurate invoices with ease.
How to create Billing in CargoEZ?
To create an invoice in CargoEZ, please follow the steps outlined below:
Select the shipment file you need to bill.
Go to the Finance Tab and select Payables section.
Look for the Bills section.
Click on NEW.
Create Bill window will pop up where you can fill in all the billing details.
Billing Control Functions
View: This option enables you to review the bill details without making any alterations. It's beneficial for ensuring accuracy before sending it for approval or processing.
Void: If there's a need to cancel the bill due to errors or other reasons, the Void option comes in handy. Choosing this marks the bill as invalid and prevents further processing.
Edit: Should any changes be necessary, such as updating item descriptions, quantities, or correcting errors, the Edit option allows modifications to the bill details.
Clone: When there's a need to create a bill similar to an existing one, the Clone option duplicates the bill. This facilitates the creation of similar bills with minor adjustments, saving time and effort.
Approve or Reject: After the bill is submitted for review, the approving authority can either "Approve" or "Reject" it. Approving the bill indicates consent for payment, while rejecting it signifies that further modifications or clarifications are required before approval can be granted. This step ensures proper scrutiny and control over financial transactions.
Locking/Unlocking: Similar to invoices, the ability to lock or unlock bills is crucial for controlling access and preventing unauthorized changes once the bill is finalized or in a specific stage of processing. Locking ensures the integrity and validity of the bill, while unlocking allows authorized personnel to make necessary adjustments when required.
Print Preview: View a formatted version of the bill before printing.
Upload: Attach supporting documents or files related to the bill.
Related Transactions: See all transactions linked to the bill.
History: Track all changes and actions taken on the bill.
